Sun City Festival Pickleball Club, Board of Directors Meeting Minutes.
November 1, 2024
The following were in attendance.
Beth Castle, President. Trevor Thorne, Vice President. Mark Swygert, Secretary. Diana Ballato, Director at Large, Rotations & Court Schedules. Chris Prellwitz, Treasurer. Rob Dryden, Director at Large, Player Development. Scott Moyer, Director at Large, Events. Leila Mirza, Admin. Debbie Strong, Capital Project Committee Member.
Beth called the meeting to order at 1:30 pm.
Seven Pickleball Club members (Ramona Knipstein, Mary Comer, Debbie Sengsavath, Jan Kulig, Karen Perricone, Debbie Andrews, and Kevin Andrews) were invited to the Board meeting to share details with the Board regarding an incident that occurred at the Sage courts that included threats of physical violence as well as verbal abuse. Calls were made to 911 and no less than four Buckeye Police Department personnel responded to the scene. No arrests were made by the Buckeye Police Department (BPD). BPD personnel noted the lack of no trespassing signs at the Sage courts and recommended the installation of no trespassing signs at the Sage courts. Beth Castle plans to meet with Kim Rinehart, the Sun City Festival HOA General Manager, regarding the incident and the need for no trespassing signs to be installed at the Sage and Wagner courts.
Capital Project Report.
Debbie Strong, Capital Project Committee Member Representative, noted that an informational meeting for the Club’s general membership was held on October 29, 2024, regarding the Capital Project. The next informational meeting is scheduled for November 6, 2024, at the Sage courts. The meeting will start at 5:00 pm.
Minutes.
The meeting minutes for the Pickleball Club’s Board of Directors meeting on October 4, 2024, were presented for approval. Diana Ballato made a motion to approve the minutes. Rob Dryden seconded the motion. The minutes were approved by a unanimous vote of approval.
Beth Castle reported that she, Trevor Thorne, and Debbie Strong met with the HOA Finance Committee and presented the Pickleball Club's proposal for a shade feature at the Sage Courts. The information provided by the Pickleball Club to the HOA Finance was explanatory in nature and no vote was taken by the HOA Finance Committee.
Beth Castle made a motion to reimburse Debbie Strong, Capital Project Committee Member, for expenses associated with the Capital Project not to exceed $300.00. Rob Dryden seconded the motion. The motion was accepted by a unanimous vote of approval.
Treasurer's Report.
Chris Prellwitz presented the Treasurer’s Report. The most recent Financial Report is posted on the Club’s website. Beth Castle made a motion to approve the checks for October as written. Rob Dryden seconded the motion. The motion was accepted by a unanimous vote of approval.

President's Report.
Beth Castle presented the President’s Report. A special session for the Board will be held at Rob Dryden’s home to address future planning regarding the annual General Meeting.
Admin Report.
The Admin Team noted that voting for Club election will be conducted electronically beginning on November 4 and ending on November 7, 2024.
VP Report.
Trevor Thorne presented the Vice President’s Report. Windscreen installation at the Wagner courts is scheduled to begin on November 4, 2024. The Wagner water fountain has been replaced.
Rotations & Coordinators.
Diana Ballato presented the Rotation Report. Club membership is reminded that warming up on courts during designated Open Play time is not permitted if the courts are being used for an Open Play event. The Club’s winter rotation schedule started on November 1, 2024, and will continue through March 31, 2025.
Player Development.
Rob Dryden presented the Player Development Report. Skills and Drills for the Club’s 2.5 rated players begins on November 4, 2024, and will run for four weeks.
Events.
Scott Moyer presented the Event Report. The Halloween Party was a successful event. The Fireman’s Tournament is on November 2, 2024. The Veterans Tournament is November 8-10, 2024.
