Sun City Festival Pickleball Club, Board of Directors Meeting Minutes.
August 2, 2024
The following were in attendance.
Beth Castle, President. Trevor Thorne, Vice President. Mark Swygert, Secretary. Diana Ballato, Director at Large, Rotations & Court Schedules. Debbie Strong, Representative, Capital Project Committee. Chris Prellwitz, Treasurer (via Zoom). Rob Dryden, Director at Large, Player Development (via Zoom). Absent: Scott Moyer, Director at Large, Events.
Beth Castle called the meeting to order at 1:30 pm.
Minutes.
The meeting minutes for the Pickleball Club's Board of Directors meeting on June 7, 2024, were presented for approval. Diana Ballato made a motion to approve the minutes. Beth Castle seconded the motion. The minutes were accepted by a unanimous vote of approval. Note that there are no minutes for a Board meeting in July 2024 as the Board did not meet in July 2024.
Treasurer's Report.
Chris Prellwitz presented the Treasurer's Report. The most recent Financial Report is posted on the Club's website. Diana Ballato made a motion to approve the checks written for June and July 2024 as written. Trevor Thorne seconded the motion. The motion was accepted by a unanimous vote of approval.

Capital Projects.
Debbie Strong, a member of the Pickleball Club's Capital Project Committee, presented additional information and cost estimates for five [5] options for shade structures for the Sage and Wagner courts as well as discussed potential fund raising proposals. The Board thanks the Capital Projects Committee for their efforts gathering estimates for potential Capital Projects.
President's Report.
Beth Castle presented the President's Report. The annual Pickleball Club general membership meeting will be the week of November 18, 2024. The Club Secretary will coordinate with Janet Turner, the HOA Lifestyle Director, to schedule the event. A survey of the membership was conducted regarding approval of a $3500.00 payment from Club funds for an upgrade of the Sage courts lights. The membership approved the expenditure by a vote of 490 for and 22 against.
VP Report.
Trevor Thorne presented the Vice President's Report. Court cleaning is going well. To date, there is no action by Phil McWilliams, the HOA Facilities Director, regarding wind screen replacement at the Wagner courts. Additionally, no information is available from the Facilities Director regarding court resurfacing.
Rotations & Coordinators.
Diana Ballato presented the Rotation Report and noted that the Fall schedule will begin on October 1. New event coordinators for the rotations are always welcome.
Player Development.
Rob Dryden presented the Player Development Report. Skills and Drills will begin after the new year. Persons from the Foothills family homes have been noted playing on the pickleball courts. Beth Castle will contact the Festival HOA and ask that they contact the Foothills HOA and remind the Foothills HOA membership that the pickleball courts are not for use by Foothills HOA persons.
Events.
Beth Castle presented the Event Report. A Halloween party for the Club is planned for late October. Beth Castle made a motion to authorize an expenditure of up to $350.00 for musical entertainment at the Halloween party. Trevor Thorne seconded the motion. The motion was accepted by a unanimous vote of approval.
