SCF Pickleball Board Minutes

A meeting of the Sun City Festival Pickleball Board members was held via Zoom on September 19, 2021 at 2:00 pm AZ time.

New Business
Upcoming Elections - There are 3 board positions that are coming up for election: Vice President, Secretary and Director of Player Development An email blast will go out to all club members October 1 asking for interested parties to reply by October 15. Once we have the interested candidates, voting will take place via Survey Monkey in November, winners will be announced and will start their term January 1, 2022.
In-House Rating Procedures - Doug and Tom designed an in-house rating system where the player wishing to move up to a higher skill level will play 3 games with 3 other players in the level they are aspiring to. The games are to 11 win by 1 and the player must get at least a total of 23 points to advance. It was decided by the board to use the 4.5 skill level as a testing ground for the system. Doug and Tom will report back to the board on the status at the next meeting.
Court Reserve Update - Dave Owen gave an update on Court Reserve. The system has functioned well since the launch on May 25, 2021. Members quickly adapted to the new system with no training confirming the system is easy to use. 39% of members have not logged into Court Reserve. They anticipate as more members return in the fall and winter that number will decline. Pulte has granted the club permission to use online payments in Court Reserve. Two payment options were investigated: Stripe and SafeSave. While the fees are comparable the committee decided to go with SafeSave as they allow eChecks as well. Doug is in the process of getting the information needed from the HOA so that credit card payments and eCheck payments can be made through Court Reserve.
Budget and Proposal of Purchases - Mark gave an overview on the anticipated income and expenses for the rest of the year. Approximately $2500 would need to be spent in order to avoid paying taxes. Expenditure items that were discussed was an ice machine at Wagner and patio furniture at Sage (split with Tennis Club). It was decided that Doug will contact Kim at the HOA and discuss the purchase, CARE money assistance and Pulte’s responsibility of maintaining the ice machine. Pulte turning the water on at Wagner was also a concern of the board.
Rotations and Schedule Changes - Dave and Ila gave an update on the new rotations added and time changes for the upcoming season. October is a transition month and rotations start at 9:00 and 11:00. The winter schedule covers November- March and rotations will start at 11:00 and 1:00. New events on the calendar are as follows: 70+/3.0+ Player Rotation on Wednesdays at Sage, 2.5 Skills and Drills on Tuesdays at Sage, 3.0 Skills and Drills on Thursdays at Sage, 2.0/2.5 event has been added at Wagner and the Beginner’s Clinic will be held every 2nd & 4th Monday at Sage. The clinic is available to club members and HOA residents. 2 Team rotations will be held at Wagner on Saturdays: 2.5/3.0 and 3.0+ skill levels. There will also be 3 A/B rotations held in the winter schedule where the same rotation is held twice on the same day. Court Reserve will block players from signing up for both sessions. An increase of 15% more players will be allowed to sign up for the rotation and games will be increased to 7 per rotation. That will allow for more participants and less dead time. Coordinators will be trained in October for the November change. Court Reserve does not have a ladders application at this time so SCF Faux Ladders will continue on Tuesdays and Thursdays at Wagner. Volunteers are needed for the 3.5 Skills and Drills and the Beginner’s Clinic. The open play/reserve play will continue as the 50/50 split until a need for a change arises.
Court Cleaning - Tom will coordinate the cleaning crews for the courts at Wagner. Once the day, frequency and time are confirmed the courts will be blocked off in Court Reserve.
APPL - Arizona Pickleball Player’s League - Dave will be the contact person for the SCF APPL Teams for scheduling court time for matches.
By-Laws - Doug, Mark and Dave have volunteered to take a look at the By-Laws and address any changes that need to be made. Mark will write the mission statement for the committee.
Annual Club Meeting - A general membership meeting will be held in December. Day and time to be announced at a later date.
Meeting Scheduled - The next board meeting is scheduled for October 18, 2021 at 3:00 pm. Doug will confirm the location.
