SCF Pickleball Board Minutes
October 18, 2021
A meeting of the Sun City Festival Pickleball Board members was held in the Antelope Room of the Senita Center on October 18, 2021 at 3:00 pm.
Present
New Business
Elections - The Vice-President, Secretary and Player Development positions are up for election. The following club members have volunteered to become board members: Dave Owen (VP), Cheryl Casey (Secretary) and Nick Mirza (Player Development). The communications committee will be asking each candidate to submit a bio. Because these elections are uncontested an email will be sent to each club member along with the bio and a chance to vote(confirm) their choice. The email will go out November 1, 2021.
In-House Tournament - A tentative date was set for March 21-25, 2022. We are in need of a tournament director. Doug will reach out to Mel Hatton to see if he would be interested. Mark and Mary Comer volunteered to train the referees.
Hen House - Doug volunteered to reach out to Chris Prellwitz and Barb Oleson who have organized it in the past to see if they are interested in holding the event in 2022.
Mini Tournament - An email will be sent out to all club members to judge interest in a 2.5 and 3.0 Mini tournament.
Annual Membership/Party Meeting - A meeting/party date was set for December 7, 2021 at 6:00 pm. Tom will reach out to Linda Cummings (Social Committee) for help in organizing the meeting/entertainment.
Memorial Bench - The club received a $1000 donation from the family of Paul Pelnar. To honor Paul, a motion was made by Tom Karas to purchase 4 outdoor benches to be used at the Wagner and Sage courts. Ila Haas 2nd the motion and was passed by the board. Each bench will have a memorial plaque honoring Paul.
Court Schedule Update - Beginning November 1 rotations will change to the winter schedule. All rotations will begin at 11:00 and 2nd sessions will begin at 1:00. Ila will be holding a rotation coordinator meeting on October 26, 2021 at 4:00 pm to go over rotation procedures. It was discussed that the injury report should go to the Player Development board member before being passed on to Pulte to assure that the form has been correctly filled out. The club is still in need of a 3.5 Skills & Drills Coordinator.
Round Robin Format - Dave Owen volunteered to put together a format for using a round robin system at the rotations. There will be a link posted to the SCF Club website that coordinators will be able to download and print.
Open Play and Court Etiquette - A reminder email will be sent to all club members on court etiquette, club policies and player waitinging rules. A sign will also be posted detailing the open play/reservation court system at the Wager ramada.
Court Reserve Update - Doug is still in the process of getting the information needed to add credit card/echeck payments to Court Reserve. We have a total of 963 members. 74% of the membership has logged into Court Reserve. To prevent double booking events Tom Karas made a motion that a member can only sign up for one event per date. Ila Haas 2nd and the motion passed. Effective November 1, 2021. SCF currently has 7 AAPL teams. Dave Owen will coordinate home matches for each team at Sage Courts.
By- Laws - Mark Comer and Dave Owen are drafting the new by-laws. A special meeting of the board will be held November 1 to go over the changes. Once they are finished they will be forwarded to Pulte for approval. Upon approval, the new by-laws will be sent via email to all club members and voted on at the annual meeting.
Monthly Meetings - It was decided by the board to hold meetings on the 3rd Monday of each month. The next meeting will be held November 15, 2021 at 3:00 pm. A special by-law meeting will be held on November 1, 2021 at 3:00 pm.
