January 6th, 2023

The following people were in attendance.

Craig Palermo, President. Mark Swygert, Vice President. Val Vollmin Treasurer. Trevor Thorne, Secretary. Beth Castle, Player development. Diana Ballato, Director at large. Cheryl Casey, Director at large. Brock Taylor, Admin/communications. Katie Westermann, Admin/communications.

Craig Palermo called the meeting to order at 2:59 PM on 1/6/23. All in attendance met the quorum’s requirements.

The first order of business was to approve the prior meeting’s minutes.  After a brief discussion Cheryl proposed a motion to approve the minutes as submitted, this motion was seconded by Beth, all the remaining BOD voted to approve the minutes as written.
The next item on the agenda was the treasure’s report.  Val Vollmin reported the spending and deposits for the last period with a year end balance of $9499.70.  The report was accepted by all members of the board.  

The upcoming tournaments were then discussed after being presented by Beth Castle. The Dink-A-Thon will be headed by Craig Palermo on 1/30/23 followed by the Henhouse/peep show on 2/15/23 headed by both John Woollums and Beth Castle. The In-house tournament will follow on March 20 through the 24th. This tournament will include the Skinny Singles, Women’s doubles. Men’s doubles and finally the team events on the 24th ending with the medal presentations & a party with a live band. The Highlanders Tournament is scheduled for 4/13/23.  Many more details will be communicated shortly to the membership.

Player development is an important part of our club.  Beth Castle is our lead in this area along with assistance of many.  We are always in need of coaches please consider volunteering to help in this area, remember we all had help in understanding the game and improving our skills, please contact Beth if you are interested.  Diana has offered to help Beth with the rotations schedules.

Bank signature cards will be required to be signed by the new members of our board that are now responsible.  Craig, Val and Mark will be visiting our bank shortly to sign new bank cards.

Court cleaning is necessary in our dusty desert.  Many members volunteer to do this.  I can assure the courts we are so proud of need constant maintenance.  Mark Swygert has stepped up to lead this effort, current crews are listed on court reserve, Brock Taylor will be forwarding Mark a current list of crews.  Please reach out to Mark if you are interested in helping out.

Fireman have offered to clean our courts at Sage, Craig intends to reach out to ensure this is on their schedule going forward.  For his service we allow the fireman to enjoy playing.
We are looking into having the lights turned on an hour earlier during the shorter winter days.  In addition we are planning on reaching out to Pulte to discuss the suggestion of improving the lights at Sage possibly with LED bulbs. Mark will be leading this effort.
Court resurfacing is part of Pulte’s long term plan, this is important for many reasons including safety. Mark will also work on this.

The board discussed the benefit of a Vaptr court dryer. This would require 7-10 minutes per court, while only picking up puddles it would accelerate the drying process.  Many thoughts were discussed; Craig will be reviewing this option in more detail in preparation for more discussion. The cost of the dryer is approximately $3500.00 which would require members approval.

Certain nets have been replaced, a number of others need to be, the BOD recognizes this issue, Mark Swygert has agreed to follow-up on this issue.

The By-Laws will be reviewed by both Cheryl & Beth; a rough draft of potential changes will be presented to the BOD for review.

The shed at Wagner needs a good clean up along with re-organizing.  Trevor will propose a date and time for the board to complete this in the near future.

Rating players is an item that will be worked on.  In house ratings are being considered this could lead to rotations that may require only rated players and other rotations that are open to all including self-rated players. Kerrie Palermo will be working with both Val & Beth on this subject.

The BOD spent some considerable time discussing the need to restore Pre-Covid “sense of community” within our club. Open play is a great way to get to know others. A motion to have all courts, both Sage & Wagner available until 11:00AM as open play was proposed by Craig Palermo, Cheryl Casey seconded the motion.  A vote was had. Craig Palermo, Trevor Thorne, Val Vollmin and Cheryl Casey voted Yay.  Mark Swygert, Beth Castle & Diana Ballato voted Nay.  The proposal carried 4-3. As of 2/1/2023 all courts will have open play at both Sage & Wagner until 11:00AM. Rotations and reserved courts will follow this time.

Craig Palermo presented a motion to adjourn at 4:35PM. All in favor.
